Code of conduct & host responsibilities

Every host agrees to our official wellness code of conduct before being approved. The full document is here so there are no surprises.

Role purpose

Hosts / Run Leaders / Ambassadors are volunteer community facilitators — not coaches or instructors. The focus is participant safety, inclusion, and basic event coordination.

  • Promote safe use of public pathways and shared spaces
  • Support inclusive participation across varying fitness levels
  • Encourage adherence to road rules and pedestrian safety
  • Help ensure no participant is unintentionally separated from the group
  • Activities are non-competitive, non-timed and voluntary — participants exercise within their own limits
  • Remind people we're a community meet-up of like-minded people — no liability is taken at free events

Pre-event risk controls

  • Choose routes that prioritise footpaths, shared paths and safe crossings
  • Consider weather, lighting and temporary hazards
  • Run a brief verbal safety briefing before commencement
  • Encourage run-walk participation and regular regrouping
  • Carry a mobile phone for emergencies
  • Remind participants to manage their own fitness, fatigue, medications and medical history — buddies welcome

During-event risk controls

  • Encourage participants to obey all road rules and pedestrian signals
  • Maintain a social, conversational pace appropriate to the group
  • Regroup at intersections or decision points
  • Monitor wellbeing and respond to concerns as they arise
  • Pause or stop the activity if safety risks are identified
  • Larger groups: use a back-marker / 'sweeper' so no one is left behind

Incident response

  • Pause the activity where required
  • Provide basic first aid if safe and trained to do so
  • Contact emergency services when necessary
  • Do not leave the affected participant alone until support arrives
  • Hosts do not provide medical advice beyond basic first aid and emergency facilitation

1. Respect and inclusion

Act with honesty, fairness, respect and integrity. Treat every person with courtesy and dignity, valuing diverse backgrounds, identities and abilities. Foster a welcoming, safe and inclusive environment that supports physical, emotional and mental wellbeing.

2. Support and encouragement

Be supportive, encouraging and positive toward others — regardless of fitness level, skill, age, gender identity, sexuality, race, culture, religion or ability. Create an environment where everyone can participate and progress at their own pace.

3. Zero tolerance for discrimination

No discrimination, harassment, bullying, abuse, intimidation, victimisation or vilification — online or in person. This includes (but isn't limited to) age, race or ethnicity, sex, sexuality, gender identity or expression, disability, religion or belief system.

4. Safety and wellbeing

  • Prioritise your own and others' safety during all activities
  • Act responsibly to minimise risk of harm
  • Follow reasonable directions from Club leaders, instructors, volunteers and committee members

5. Responsible communication

  • Keep posts, comments and shared content respectful and relevant to the Club's mission
  • Don't share another member's personal info, photos or content without consent
  • Avoid public posts that could damage the reputation or inclusiveness of the Club

6. Conflicts of interest

  • Avoid any actual or perceived conflicts of interest
  • Act fairly and ethically — especially around club benefits, partnerships or member privileges
  • Don't misuse discounts, offers or resources intended for members

7. Representation of the club

Hosts and volunteers are ambassadors of GC Pride Official Wellness Club. Behave in a way that reflects positively on the Club at all times — at events, in public, and online.

8. Reporting and support

If you have a concern or experience behaviour that conflicts with this code, contact any Committee or Leadership Team member directly. Reports are handled fairly, respectfully and in confidence.

9. Accountability

Failure to follow this code may result in a discussion with leadership, temporary or permanent restriction from events, or other action determined by the Club Committee. By participating in GC Pride Official Wellness Club activities, you agree to abide by this code.
