The 5-step host playbook
1. Plan your event
- Pick a date, start time and a clear meet point (drop a pin or landmark).
- Choose a route or venue that suits all fitness levels — accessible where possible.
- Decide if it's free, low-fee, or a Collab listing pointing to your own page.
- Write a short, warm description — who it's for, what to expect, what to bring.
2. Submit & promote
- Submit via Host → Submit an event. Add a great cover image (1200×630 works best).
- Once live it auto-lists on /events and feeds into our newsletter + socials.
- Share the event link in your stories — tag @gcpridewellness so we can repost.
- Send a reminder 24 hours before. The event card has a built-in share button.
3. On the day
- Arrive 15 minutes early. Wear something recognisable (pride colours, our tee, a flag).
- Do a warm welcome circle: names, pronouns optional, quick safety briefing.
- Keep the pace social. Use a back-marker on group walks/runs so no one is left behind.
- Take a few photos for socials — always ask consent before posting faces.
4. Check-ins & points
- Open your event in Host → Dashboard and tap 'Check-in code' to show the QR.
- Members scan it (or enter the 6-digit code) to earn Pride Points and climb the leaderboard.
- Collab events don't use check-in codes — attendees are managed on your own platform.
- After the event, your dashboard shows RSVPs, check-ins and no-show rates.
5. Follow up
- Post a thank-you in stories and tag attendees who opted in.
- Reply to any DMs or comments within 48 hours.
- Submit your next event while the energy is fresh — consistency builds community.
Pro tips from our hosts
Great photos = more turnout
Natural light, candid moments, group shots from a slight low angle. Avoid posed line-ups only — show the vibe.
Write like a friend
Skip corporate copy. Tell people what they'll feel, what they'll wear, and what comes after (coffee? swim?).
Inclusion first
Use 'everyone' not 'guys'. Offer modifications. Make it clear all bodies, pace levels and identities are welcome.
Have a plan B
Wet weather? Move it under shelter, shorten the route, or run a stretch + coffee session instead of cancelling.

A quick printable list. Run through it the morning of your event.
Bring with you
- Charged phone (for check-in QR + emergencies)
- Water + a small first-aid kit
- Something to identify you as the host
- A copy of the route or venue info
Do before you start
- Open your event in Host Dashboard → show QR code
- Welcome circle: names, brief safety chat
- Confirm pace, route and regroup points
- Note any participants with accessibility needs
During the event
- Stay social — chat to newcomers first
- Regroup at intersections / decision points
- Watch wellbeing — pause if needed
- Take 3–5 photos for socials (ask consent)
After the event
- Thank everyone — call out first-timers
- Post a story + tag @gcpridewellness
- Check your dashboard stats
- Schedule the next one while it's hot

Do I need a qualification to host?
No. Hosts are volunteer community facilitators, not coaches. If you're running a technical session (e.g. strength coaching) we recommend a relevant cert, but it's not required for social wellness meet-ups.
Can I charge for my event?
Yes — low-fee is fine. Free events tend to get the biggest turnout. If you're charging, handle payment on your own platform and list the event as a Collab linking out.
What's the difference between Host and Collab?
Host events run under the GC Pride banner with built-in RSVP, check-in QR and Pride Points. Collab events live on your own page — they show on our calendar with a Collab tag and link to your site.
How do members earn points at my event?
Open your event in the host dashboard and display the check-in QR (or share the 6-digit code). Members scan to earn points. This is automatic — you don't need to track anything manually.
Something went wrong — who do I call?
For an emergency, always call 000 first. For event-related issues, message the GC Pride team via Instagram DM or the Contact link in the footer. We aim to reply within a few hours during the day.
How often should I host?
Whatever's sustainable for you — weekly, monthly, or one-off. Consistency builds regulars; one-offs are great for trying new formats.
